Terms of service
Effective 18 August 2026 · version 1.0
These terms are an agreement between you and us. They apply when you create an account, buy credits, or send a request to the API.
1 · Who this agreement is between
Section titled “1 · Who this agreement is between”The Kaho PDF API (the service) is operated by Kaho LLC, a limited liability company formed in the State of Delaware, United States (Kaho, we, us, our).
- Email:
[email protected] - Business address: 19 Beechtree Lane, Bronxville, NY 10708, United States
You means the person or organisation holding an account. If you open an account on behalf of an organisation, you confirm you are authorised to bind it, and “you” means that organisation.
Consumer means an individual acting wholly or mainly outside their trade, business, craft or profession. Several sections below give consumers rights that business customers do not have, and say so where they apply.
2 · Eligibility and your account
Section titled “2 · Eligibility and your account”You must be at least 18 and capable of entering a contract. One person or organisation, one account, unless we agree otherwise in writing.
You sign in with Google. We never see or hold a password. You are responsible for keeping access to your Google account secure, because whoever holds it can reach your credits.
3 · What the service does
Section titled “3 · What the service does”You send a PDF over HTTPS. We return Markdown, or the document’s table of contents, or structural information about the document. Conversion is automatic and runs on our own infrastructure.
We do not train anything on your documents, and we do not use them, or anything derived from them, for any purpose other than answering the request you made and keeping the records described in §9.
4 · Credits, prices and tax
Section titled “4 · Credits, prices and tax”The service is prepaid. One credit converts one standard page. Credits are bought in fixed packs and spent as pages convert.
- An account starts at zero credits. Only a settled payment adds credits.
- You are charged for the pages we convert. The pricing documentation describes how metering currently works, including which outcomes are not charged for. It is a description of the service rather than a term of this agreement, and we may update it.
- Credits do not expire while your account is open. §11 says what happens when it closes.
Prices are shown exclusive of tax. VAT, GST or sales tax is calculated at checkout from the billing address you give, and the total including tax is shown to you before you pay. If you are a business in the EU or the UK and you enter a valid VAT identification number, the reverse charge applies where the law provides for it.
The charge on your statement is shown as PDFAPI.
5 · Refunds, and the right to cancel
Section titled “5 · Refunds, and the right to cancel”5.1 Our refund policy — everyone
Section titled “5.1 Our refund policy — everyone”Consumed credits are not refundable. The pages converted and you received the service.
Unspent balance is refundable to the original payment method within 30 days of
the purchase that created it, calculated proportionally across your balance.
Write to [email protected].
We would rather refund you than have you dispute a charge, and this policy exists to make that the easy path for both of us.
5.2 If you are a consumer in the EU, the EEA or the UK
Section titled “5.2 If you are a consumer in the EU, the EEA or the UK”You have a statutory right to withdraw from this contract within 14 days of buying credits, without giving a reason.
By buying credits and using the service you ask us to begin supplying it immediately. Where you have used credits before withdrawing, you owe us an amount proportional to what you used, and we refund the rest. In practice that means:
- Withdraw within 14 days and you get back the value of every credit you have not spent.
- Credits you have already spent are not refunded, because the service for them was performed at your request.
The 14 days run from the day the contract was concluded — the day you bought the credits.
To withdraw, tell us at [email protected] in any clear statement. You do not have
to use a particular form, but if you would like one, this is the model form from
Annex I(B) of Directive 2011/83/EU:
To: Kaho,
[email protected]I hereby give notice that I withdraw from my contract for the supply of the following service: [the credit pack you bought]
Ordered on: [date] Name of consumer: [your name] Address of consumer: [your address] Date: [date]
We refund within 14 days of being told, using the same payment method you paid with, and you will not be charged a fee for the refund.
Our 30-day policy in §5.1 is more generous than this statutory minimum and applies in addition to it. Nothing here takes away a right the law gives you.
6 · Acceptable use
Section titled “6 · Acceptable use”Do not use the service to:
- process documents you have no right to process;
- attempt to compromise the service, its infrastructure, or another customer’s data;
- work around metering, rate limits, credit balances or account suspensions;
- resell it as your own without a written agreement with us;
- break the law, or infringe anyone’s rights.
We may suspend an account doing any of these. Where we suspend for a reason other than fraud or a legal requirement, we refund the unspent balance.
7 · API keys
Section titled “7 · API keys”Keys are shown once and stored only as a peppered hash. We cannot recover a key for you, only issue a new one.
You are responsible for keeping keys secret and for usage incurred under them.
Tell us promptly if a key leaks — write to [email protected] — and we will revoke it
and issue a replacement. Revocation takes effect on the next request.
8 · Your documents, our rights
Section titled “8 · Your documents, our rights”You keep every right in the documents you send. You grant us only the narrow licence needed to run the service: to receive, process and return your document for the request you made, and to hold the records in §9.
You confirm you have the right to send us each document you send.
9 · Your documents and your data
Section titled “9 · Your documents and your data”We do not retain your documents. A document you send for conversion is not kept after the request it was sent for.
What we keep, why, and for how long:
| We keep | For how long | Why |
|---|---|---|
| Request metadata — timestamp, source IP address, endpoint, page counts, and a SHA-256 of the document bytes | 540 days | Billing accuracy, abuse investigation, and evidence if a payment is disputed |
| The conversion result, cached and scoped to your account and project | 24 hours, or not at all if you send cache: false | Serving a repeat of the identical request without charging you twice |
| Account, API key hashes, and credit ledger entries | Ledger entries 7 years; the rest for the life of the account | Operating the service and keeping financial records |
The document hash lets us prove a request happened without keeping what it contained. We never keep document content as dispute evidence.
The privacy policy is the full account, and the data processing addendum applies where we process personal data on your behalf.
10 · Availability
Section titled “10 · Availability”The service is offered as-is and as-available, with no published availability or latency commitment. We will not quote an uptime figure we have not measured.
We may change, suspend or withdraw parts of the service. If we withdraw the service altogether we will give you reasonable notice and refund your unspent balance.
11 · Suspension and termination
Section titled “11 · Suspension and termination”You may close your account at any time from the console. We refund the unspent balance on request within 30 days of the purchase that created it; outside that window, unspent credits are forfeited on closure at your own request.
We may suspend or close an account that breaches §6, that we are legally required to close, or whose payments are reversed. Except for fraud or a legal requirement, we refund the unspent balance.
Sections 9, 12, 13, 14 and 17 survive termination.
12 · Warranties
Section titled “12 · Warranties”To the fullest extent the law allows, the service is provided without warranty of any kind — including implied warranties of merchantability, fitness for a particular purpose and non-infringement. We do not warrant that conversion output is complete or accurate for every document, that the service will be uninterrupted, or that it is fit for a purpose you have not told us about.
If you are a consumer, this section does not affect your statutory rights, including your rights under the EU Digital Content Directive (2019/770) or, in the UK, the Consumer Rights Act 2015.
13 · Limitation of liability
Section titled “13 · Limitation of liability”Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any liability that cannot lawfully be limited — including, for consumers, liability under mandatory consumer protection law.
Subject to that:
- We are not liable for indirect or consequential loss, loss of profit, loss of revenue, loss of business, loss of goodwill, or loss or corruption of data arising from your use of the service.
- Our total liability arising out of or in connection with these terms is limited to the greater of the amount you paid us in the 12 months before the event giving rise to the claim, or US$100.
If you are a consumer, we are responsible for loss or damage you suffer that is a foreseeable result of our breaking this contract or failing to use reasonable care and skill, and the caps above apply only so far as the law permits.
14 · Indemnity
Section titled “14 · Indemnity”This section applies to business customers only. You will indemnify us against claims, losses and reasonable costs arising from documents you send that you had no right to send, or from your breach of §6.
15 · Changes
Section titled “15 · Changes”We may change these terms. We will give at least 30 days’ notice of a material change by posting the revised terms here and in the console, and the effective date and version at the top of this page will change with it. Continuing to use the service after that date means you accept the change.
A price change never applies to credits you have already bought. If you do not accept a change, close your account before it takes effect and we will refund your unspent balance, whatever the 30-day window in §5.1 would otherwise say.
16 · Complaints
Section titled “16 · Complaints”Write to [email protected]. We will look into it and respond as promptly as we
reasonably can. If you are unhappy with the outcome,
§17 sets out where you can take it.
We do not currently participate in an alternative dispute resolution scheme.
17 · Governing law, and where disputes go
Section titled “17 · Governing law, and where disputes go”These terms are governed by the laws of the State of Delaware, United States, without regard to its conflict-of-laws rules, and the courts of Delaware have exclusive jurisdiction — except as set out below.
If you are a consumer resident in the EU, the EEA or the UK, none of that takes away the protection of the mandatory consumer law of the country you live in. You keep the benefit of those rules, and you may bring proceedings in the courts of your own country. We will bring any proceedings against you only in the courts of the country you live in.
18 · General
Section titled “18 · General”- Assignment. You may not assign this agreement without our written consent. We may assign it to a successor to our business, on notice to you.
- Severability. If a provision is unenforceable, the rest stands.
- Waiver. Not enforcing a term once does not waive it.
- Entire agreement. These terms, the privacy policy and, where it applies, the DPA are the whole agreement between us about the service.
- Force majeure. Neither of us is liable for a failure caused by something genuinely outside our reasonable control, for as long as it lasts.
- Notices. We give notice in the console, on this site, or to the email
address on your account. You write to
[email protected].
19 · Contact
Section titled “19 · Contact”[email protected] for anything, including refunds, complaints and data requests.
